Create a Preventative Maintenance Task (MOP 2.0)


A preventative maintenance task is a scheduled and proactive measure to prevent equipment failures and system issues, ensuring reliability, longevity, and optimal performance. These tasks are vital for minimizing disruptions, extending asset life, improving safety, and optimizing operations, leading to cost savings and continuous productivity. With the exception of earlier assignments, these tasks do not require daily assignment. They will be automatically added to the employee's task list on the scheduled day.
Path: Dashboard > Prev. Maint. Tasks

1. Click on "Add Prev Maint Tasks".



2. Select the room number or common area where this recurring maintenance task is designated for. If the preventative maintenance applies to every room, check the "All Rooms" box.
Selecting "All Rooms" will create a task for every room simultaneously, which may overwhelm your task list. If you prefer to distribute preventative maintenance over time, you can create tasks for a few rooms with a start date of today, and then create additional tasks for other rooms with start dates of tomorrow or a few days later. Continue this process until all rooms are covered. This approach will spread the preventative maintenance tasks gradually, so the maintenance team won't face a large list of tasks all at once.

3. Select the type of duty/task from the dropdown.



4. Select the Priority (3): High, Medium or Low.



5. Choose the employee for task assignment and specify the verification type. The verification type is typically auto-checked based on the employee's profile.
- Self: the task will be updated to "verified" once completed.
- Super: the task will have to be verified by a head housekeeper or maintenance supervisor once completed by the employee.



6. Select the type of recurrence for the task. Choosing between these parameters depends on whether you want to schedule maintenance based on time intervals or actual usage, and it's important to select the one that best fits your maintenance strategy and the nature of the equipment or assets being managed.
- "Days Counter" is based on the passage of time and triggers maintenance tasks at specific time intervals.
- "Days Rented" is based on the actual usage or rental period of the asset and triggers maintenance tasks when the asset has been actively used for a certain duration.

7. Enter the reccurence of the task in days... every how many days the task will have to be completed.

8. Select the start date and the time frame (start and end) during which the task should be completed.
9. Specify the number of times the task will repeat in the "Counter" field. If you want the task to repeat indefinitely, you can leave this field empty.



10. Check the "Active" box to activate the recurring task.


11. Enter any notes that would give more information or insight about the task, or explain the task if "See Notes" was selected as the duty (#3).



12. Click Save.
