Import User(s) from VMPMS to VMMOP (MOP 2.0)

Import User(s) from VMPMS to VMMOP (MOP 2.0)

As a component of the integration between VMPMS and VMMOP, the "Add Tasks" function will automatically import new users from the PMS to VMMOP. The protocol for generating the MOP username, which is based on the user's first and last name, will be followed consistently.

1. Create the new user in VMPMS.
Path: Management > User Settings > Security

2. Import Tasks in MOP.
Path: Add Tasks > Add Visual Matrix Tasks

3. MOP will import every user from the PMS and will be assigned a Role based on their assigned department in VM Cloud:

VM Cloud PMS User DepartmentVM MOP User Role
Front Office
Reservation
Accounting
Sales & Marketing
Banquet & Catering
Concierge
Desk Staff
HousekeeperRoom Attendant
EngineeringMaintenance
SupervisorHead Housekeeper
ManagementSite Admin

4. At this stage, the new user is now integrated into MOP. It's important to highlight that the PMS Username will not be transferred to MOP. Instead, MOP will generate a new username based on the user's first name.
New users won't be added to MOP right away; it will take a few minutes for the import to complete.

4a. Should the first name already be in use by another MOP user, a specific protocol will be initiated.

4b. The same way, MOP will not import the PMS password but will create a new temporary password using the user first name: FIRSTNAME1234# (uppercase) - Ex: If the user first name is "Josh", the temporary password will be "JOSH1234#".
The password requiring a minimum of 8 characters, if the first name is made of 2 characters or less, the temporary password will be: FirstnameTemp1234# - Ex: if the first name is "El", the temporary password will be "ELTemp1234#".

5. You will then see the user in "Administration > Identity Management > Users".

6. For each newly imported profile, make sure to review the following (Administration > Identity Management > Users > Edit):
- Verify the assigned Role(s) for each user.
- Ensure each user has a unique phone number and an email address (with Notifications enabled).
- Update the "Verify By" status.
- Adjust the "Notification Level" if necessary.
- Update the "Default Maint." setting if needed.

7. The user can login from app.vmmop.com.

8. The user will be invited to create a new password.

As previously mentioned, the username and password are automatically generated during the import process. Nonetheless, it is crucial to update each new user account in MOP with their respective phone number. Moreover, for managers, it is essential to provide an email address for maintenance tasks and panic alerts notifications, if the options are enabled.
